Custom AI for finance and accounting teams: where it earns its keep
Finance teams are where AI automation should be easiest to justify and where the tolerance for error is lowest. Both halves of that sentence matter. The work is repetitive, structured and measured in hours per week, which makes the case. The output feeds ledgers, payments and filings, which sets the bar. Here is where we think custom AI belongs in a finance function, and where it does not.
The good targets
The pattern to look for is volume plus structure plus a person retyping. In most finance and accounting teams that means four places.
- Invoice intake. Supplier invoices arriving by email in every format imaginable, keyed into the accounting system or ERP by hand. Extraction with validation against purchase orders and supplier records removes most of the keying and, more importantly, most of the keying errors.
- Reconciliation. Matching payments to invoices, statements to ledgers, remittance advice to open items. The clean matches are mechanical; the value of AI is in scoring the near matches, that payment that combines three invoices minus one credit note, and presenting them to a person as a suggestion rather than a mystery.
- Expense and document checking. Receipts, expense claims and supporting documents checked against policy before they reach an approver, with the policy written as rules the system applies uniformly.
- Reporting drudgery. The monthly pack that is assembled by copying numbers between systems and pasting commentary around them. The numbers can move themselves; a model can draft the commentary from the movements for a controller to edit rather than write.
The rule that makes finance automation trustworthy
Everything we build for finance runs on one principle: the model reads, deterministic rules decide. A model is excellent at turning a scanned invoice into structured values. It should never be the thing that decides the invoice is approved for payment. That decision belongs to rules your financial controller can read line by line: totals must cross check, the supplier must exist, the PO must match within tolerance, anything unusual stops and waits for a person. When the auditors ask how automated postings are controlled, the answer is a page of rules and a log, not a probability.

Any vendor can demo an invoice becoming data. The serious question is what stands between that data and your ledger. If the answer is nothing but model confidence, keep your hand on your wallet.
On custom financial software more broadly
A good share of the searches that reach us say custom financial services software rather than AI, and the distinction is worth respecting. Sometimes the fix for a finance team is not a model at all: it is a small piece of custom software that joins two systems that refuse to talk, or replaces the spreadsheet that has quietly become load bearing. We build those too, and part of an honest assessment is saying which kind of problem you have. AI enters the picture when the inputs are unstructured, documents, emails, scans, free text, and stays out of it when a schema and an API would do.
What adoption actually looks like
Finance teams do not adopt automation because a demo was impressive. They adopt it when the review queue earns their trust, week by week, by stopping the right items and letting the right items through. So we start narrow: one document type, one entity, one month running in parallel with the manual process, results compared. Then the scope grows along the team's confidence, not ahead of it. It is slower on paper than a big bang rollout and much faster in reality, because it is the version that survives.
